Privacy Policy
1. Who we are
390 FieldOps ("we," "our," or "the platform") is a youth-sports operations platform owned and operated by AJN Asset Management, LLC, a Texas limited liability company with its principal office at 8801 Grape Cove, Austin, Texas 78717. We provide registration, scheduling, communications, and field-management software to youth recreational sports leagues. This Privacy Policy explains what information we collect from coaches, parents, and players who use the platform, how we use that information, and the rights you have over it.
2. Information we collect
Information you provide directly
- Account information: name, email address, phone number, and password
- Player information you provide for your child or yourself: name, age or date of birth, division, team, and roster status
- Registration choices: divisions, programs, payment plan selections
- Payment information processed through our payment processor (we do not store full card numbers on our servers — see Section 5)
- Communication preferences, including whether you opt in to receive text messages
- Content you submit through the platform such as RSVPs, comments, photos coaches upload to team pages, or messages
Information we collect automatically
- Standard server logs: IP address, browser type, operating system, pages viewed, and timestamps, used for security, debugging, and performance monitoring
- Session tokens used to keep you logged in
- Audit log entries recording actions taken in your account (for example, who scheduled a game or canceled an event) — used for league administration and dispute resolution
What we do NOT collect
- We do not track your location. The platform does not request, collect, or store your device location, GPS coordinates, or any geographic tracking data — ever. We do not know where you are or where you have been.
- We do not use behavioral advertising trackers, third-party analytics SDKs, session-replay tools, or device fingerprinting
- We do not access your device location, contacts, microphone, camera, or photos
- We do not sell your personal information to anyone, ever, for any purpose
3. How we collect it
Information enters our platform through two pathways depending on how your league is configured:
- Directly through 390fieldops.com: when you register, sign up your child, RSVP to games, opt in to text messages, or use the platform.
- Through SportsEngine: some leagues use SportsEngine as their primary registration system. When that is the case, the personal information you provided to SportsEngine — including name, email, phone number, and player information — is shared with us so we can include you in league scheduling, communications, and operations. Your relationship with SportsEngine is governed by SportsEngine's own privacy policy, which you should review separately.
4. How we use the information
We use the information to operate the platform on behalf of your league:
- To register you and your players, place players on teams, and run drafts
- To create and maintain game and practice schedules
- To send you operational communications: schedule changes, weather cancellations, team assignments, payment receipts, and league announcements
- To process payments you make for registration, fees, or equipment
- To respond to your requests for support
- To improve the platform, diagnose problems, and prevent abuse
- To comply with legal obligations and enforce our terms
5. Who we share information with
We share your information only with the service providers we need to run the platform. These vendors are contractually limited to using your information only for the services they provide to us:
- Google (Firebase): hosting, database, and authentication infrastructure
- Stripe, Inc.: payment processing. Stripe receives the card information you enter during checkout. We do not store full card numbers.
- Twilio, Inc. (SendGrid): transactional email delivery
- Twilio, Inc.: text-message (SMS) delivery, where you have opted in
- SportsEngine: for leagues that use SportsEngine for registration, information flows between us and SportsEngine as described above
We also share information with your league's authorized administrators, commissioners, and coaches as required for them to run the league (for example, a coach can see their team's roster and contact information).
We will disclose information if compelled by valid legal process (subpoena, court order) or to protect the safety of users or the public. If we are ever acquired or merged with another company, we will give you notice before your information is transferred and becomes subject to a different privacy policy.
We do not sell or rent your personal information to third parties. We do not share personal information with advertisers.
6. SMS notifications
If you provide a mobile phone number and opt in to receive text messages, we will send you operational text messages about your league — for example, schedule changes, game cancellations, registration reminders, and league announcements. Standard message and data rates may apply. You can opt out at any time by replying STOP to any message, or by updating your communication preferences in your account. 7. Children's privacy
The platform is designed for youth sports and therefore contains information about minors, including names, ages, team assignments, and game schedules. We do not allow children under 13 to create accounts. All player information for minors is provided by a parent or legal guardian during registration, and the parent or guardian acts as the account holder. By providing your child's information to the platform, you represent that you are the parent or legal guardian and consent to our collection and use of that information for league operations.
Consistent with the Children's Online Privacy Protection Act (COPPA), we limit information collected about minors to what is reasonably necessary to operate the league. Parents can review or delete their child's information by contacting us at the address below.
8. How long we keep information
We retain information for as long as your league uses the platform and for a reasonable period afterward to handle disputes, comply with legal obligations, and maintain historical records the league may need (for example, prior season rosters or payment records). Audit log entries are retained for at least seven years for legal and accounting purposes. When information is no longer needed, we delete it or anonymize it.
9. Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Correct information that is inaccurate
- Delete your information, subject to limits where we need to retain it for legal or operational reasons
- Opt out of marketing or non-essential communications at any time
- Receive a copy of your information in a portable format

California residents have additional rights under the California Consumer Privacy Act (CCPA). We do not sell personal information as defined by the CCPA. To make a CCPA request, use the contact information below.
10. How we protect information
We use industry-standard security practices to protect your information, including encryption in transit (HTTPS/TLS), encryption at rest for our databases, role-based access controls, and audit logging of administrative actions. No system is perfectly secure, however, and we cannot guarantee that information you transmit to the platform will never be intercepted or accessed without authorization. If we ever discover a security incident affecting your information, we will notify you in accordance with applicable law.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page. If the changes are material, we will notify you by email or through a prominent notice on the platform before the changes take effect.
